Lawn and landscape work is weather, crews, and a calendar that thinks it’s a suggestion. Mow lists in spring. Installs in summer. Leaves in fall. Snow if you’re into that kind of punishment. In between, a client texts a photo of a dandelion like it’s a crime scene.
Generic field service software treats you like a plumber with prettier trucks. Close, but not really. Your jobs repeat. Your routes matter. Recurring work is the whole game
A weekly mow is not a one-off work order. It’s a relationship with a yard, a gate code, a dog situation, and a preference about whether you touch the beds. Platforms built for “jobs” make you clone the same ticket 26 times or they auto-generate a mess you spend all winter cleaning up.
Contracts need to be first-class. Seasonal, monthly, per-cut, the add-on that is edging every other visit. When someone pauses for vacation, the route should know. When they add a spring cleanup, it shouldn’t require a new customer record named “Johnson - extra.”
Routing is money. Drive time is the silent killer of landscape margins. A custom day list that respects geography, crew size, and “this property takes a trailer” will do more for your profit than a CRM that wants you to drip-email people about peonies.
Crews will use it if it isn’t stupid
The mower doesn’t want a tablet novella. They want the next address, the gate code, the photo of the weird planter they’re not supposed to weed-whack, and a way to mark done. Photos of before/after are gold for extras and for covering yourself when someone swears you missed a bed you definitely hit.
Weather changes the day. A useful tool lets you reshuffle a Thursday without summoning an office person who is also on a mower. If it rains at 2, the rest of the list needs a new life, not a motivational quote about agility.
Chem and fertilizer tracking can be as serious as you need. Some shops want full logs. Some want “we treated on this date, next window is here.” Custom means you don’t buy a compliance cathedral to store a date.
Clients like knowing you didn’t forget their yard
People get weird about their grass. A little status goes a long way. “We’re in the neighborhood Thursday.” “Skipped today, lightning.” “Here’s the extra for the storm debris, tap to approve.” That’s a customer app or even just branded texts. Either way, it beats 40 missed calls while you’re on a zero-turn.
Proposals for installs are another leak. You walk a property, you quote in a notebook, you type it later, you lose the sketch. A simple proposal (photos, line items, a yes button) keeps design work from dying in email. Put your name on it and you look like a company, not a guy with a nice trailer and a chaotic inbox.
Seasonal reminders can be yours, not a marketing platform’s. Aeration, winterization, the mulch window. You already know when to ask. The software should just remember with you.
One list to rule the trucks
The swiveling chair in this trade is brutal because the office is often also the crew. QuickBooks in the evening. Messages all day. A whiteboard that lied at 9 a.m. Custom software can be the list: properties, services, who’s on what, what got done, what extra is waiting on a yes. Billing can ride along so you’re not invoicing from memory in November.
